Managing your documents just became easier following the announcement of an industry-first collaboration, says IT and technology specialists Clarity.
M-Files, an enterprise content management system, is an enhanced document management system that helps its users find data more quickly and easily.
Described as “one of the world’s leading knowledge work automation platforms” by Clarity’s head of business transformation, David Darlington, M-Files is the first system of its kind to natively store content within the Microsoft 365 platform.
Building upon Microsoft’s SharePoint Embedded and API-only services, Microsoft 365 Copilot is now integrated with M-Files as standard.
This means M-Files content can now be stored directly in Microsoft 365, so users have access to native co-authoring, better AI results with Copilot and stronger compliance through Microsoft Purview.
This collaboration, David said, brought together the best features of each system into one efficient and user-friendly product, and was especially significant because it was rare for Microsoft to establish a partnership of this kind.
“No other platform like M-Files has got this access, and Microsoft said they don’t intend for anyone else to have it,” he said.
“Users now benefit from a powerful combination of Microsoft 365’s integrated compliance and Copilot capabilities, alongside M-Files’ intelligent workflow automation and native AI features. This synergy enhances productivity, ensures regulatory alignment and streamlines content management.
“Customers of either platform can expect seamless data integration, as Microsoft 365 content is automatically surfaced within the M-Files enterprise content management system,” David explained. “Thanks to M-Files’ exclusive access to the SharePoint embedded back end, users avoid the complexity of manual data migration or duplication.”
David added that current Microsoft customers did not have to “sacrifice any investment” they had already made in Microsoft, and that M-Files customers required only a few minor back-end changes to unlock the potential of the new product.
The network of capabilities under the new collaboration forms an “ecosystem” that makes searching for important documents, executing team projects and general day-to-day tasks and obligations more efficient for users, he said.
“The phrase ‘seamless integration’ is probably overused, but this is the first time I’ve seen true evidence of it in action,” David said.
“By combining M-Files’ metadata-driven automation with Microsoft’s collaboration and security capabilities, we are delivering a smarter, more connected way to manage large volumes of data and content.
“This fundamentally changes how enterprise content is managed, accessed and governed, improving collaboration and productivity across any industry, as well as reducing cost by

To make the transition, M-Files users should be SaaS customers and exist in the M-Files cloud in the new desktop. Clarity can support people to get over the line with a few “small tweaks”.
